Your Woolf Email Address
Every active Woolf user gets an institutional email address ending in @woolf.education. It arrives automatically once your onboarding completes and your account is set to Active. Mail sent to it reaches you from the first minute, and you can send from it as well by adding it to a mail app.
Where to find it
Open your Dashboard. The Woolf email card shows your address and its current status. The same section is under My account → Woolf email.
Your address is built from your name, for example jane.smith.k7m3@woolf.education. All Woolf students get a short suffix after the name and it cannot be changed or removed.
Note: Your Woolf address does not replace your login. You keep signing in with the same email as before, and all Woolf messages, codes and reminders keep going to that login email.
Receiving mail
Mail sent to your Woolf address is forwarded to your login email automatically. You do not need to set anything up.
Sender: a forwarded message shows the original sender's name followed by via Woolf. Replying sends your answer to the original sender, not to Woolf.
If your login email bounces: forwarding stops and the Woolf email card shows a notice. Fix the problem with your login email, then click My address works again, resume forwarding.
Sending from your Woolf address
To send mail from the address, add it to a mail app. The card walks you through it in about two minutes.
On the Woolf email card, read the rules and select Continue. This is a one-time acceptable-use agreement.
Under Where do you want to send from, choose your app. The card recommends one based on the device you are using.
Follow the steps for your app below.
Send one message from your Woolf address to anyone, for example yourself. The card changes to Sending works once that first message goes out.
iPhone or Mac Mail (recommended on Apple devices)
Select Set up on iPhone or Mac, then Download the Mail profile (on a computer, scan the QR code with your iPhone camera instead).
Open Settings (System Settings on a Mac), select Profile Downloaded, then Install, and enter your passcode. Install within 8 minutes.
The profile adds the account to Mail with the servers and a password already filled in. Nothing else to type.
Gmail app (phone)
Open the Gmail app, tap your profile picture, then Add another account, then Other.
Type your Woolf address and paste the app password from the card.
If the app asks for servers, use the ones under Server settings.
Outlook
Go to Settings → Accounts → Add account.
Type your Woolf address and select Continue. If Outlook asks for the account type, choose IMAP.
Paste the app password and the servers from the card.
Another app
Add a new account, choose IMAP if asked, type your Woolf address, paste the app password, and use the servers under Server settings.
Note: Type the address exactly as shown on the card. With a typo, mail still arrives but every send is refused.
Note: Gmail on the web cannot send from a non-Google address. Use the Gmail app on your phone, Apple Mail, Outlook or another mail app.
App passwords
Your Woolf address never uses your Woolf login password. Each app or device gets its own app password, created on the card.
Select Create app password. It is shown once; copy it into your mail app right away. If you lose it, make a new one.
Each password appears under Connected apps with the date it was added and when it was last used.
To disconnect a device, select Revoke next to it. Apps using that password stop sending and receiving within a minute. Other devices are not affected.
You can hold up to 10 app passwords at a time.
Tip: The Apple Mail profile and the QR code each create their own password for that device, so you do not need to make one by hand first.
Server settings
Use these only if your app does not find them on its own.
Setting | Incoming (IMAP) | Outgoing (SMTP) |
|---|---|---|
Server |
|
|
Port · security | 993 · SSL/TLS | 465 · SSL/TLS |
Username | your full Woolf address | your full Woolf address |

Limits and suspension
To protect everyone's deliverability, sending has limits:
Students: 150 messages a day, up to 30 recipients per message, attachments up to 25 MB.
Staff: 500 messages a day, up to 100 recipients per message, attachments up to 50 MB.
Attachments are scanned for viruses. Infected mail is refused.
A connected app can only send with your Woolf address as the sender. It cannot send as your personal email or as anyone else's address.
If mail from your address bounces or is reported as spam too often, sending is suspended automatically and the card shows a notice. Contact Woolf support if you believe this was a mistake.
What happens when you leave
While you are an active student or staff member, the address stays yours. If you hold several degrees, you have one address for all of them.
If you graduate, the address stays active for a grace period after graduation, then it is retired.
If you leave Woolf (your degree or staff role is archived), sending stops at once and mail keeps being forwarded for 90 days, then the address is retired.
FAQs
Do I need to use this address for Woolf?
No. Woolf keeps writing to your login email. The Woolf address is an extra address you own for study and professional use.
Why does a forwarded message say "via Woolf"?
Forwarded mail has to be sent from a Woolf address for it to pass spam checks. The sender's name is kept, and replies go straight to the original sender.
My phone says the message could not be sent.
Check the account's email address in your mail app. It must be exactly your Woolf address. Then check that the app password has not been revoked on the card.
I got a new phone. What do I do?
Set it up like a new device: choose the app on the card and create a new app password (or install the Mail profile). Revoke the old phone's password under Connected apps.
Can I send a newsletter or marketing mail from it?
No. The address is for study and professional use. Bulk, marketing or deceptive mail is against the rules you accepted and leads to suspension.
Can I pick a different address?
No. Addresses are generated from your name and cannot be chosen or changed.
